Ardmore Police Department to Equip New Interview Rooms with Axon Recording System
The Ardmore Police Department is seeking approval to purchase an Axon interview room system for four new interview rooms in the Ardmore Police Department. This system provides secure digital recordings of interviews, automatically uploads them to Axon Evidence, preserves chain of custody, and reduces evidence management workload. The implementation includes project management, installation, training, software maintenance, cloud storage, and a five-year warranty. The total cost for the five-year subscription and implementation contract is $104,289.60, payable in five annual installments. The purchase is budgeted within the GAPS Fund 95. This purchase is a follow-up to a previous change order that provided a credit due to a bidding mistake, and this request is to acquire the needed two-camera system for each of the four rooms.
Ardmore Police Department to Apply for Safe Oklahoma Grant for Violent Crime Reduction Initiatives
The Ardmore Police Department is seeking approval to apply for the fiscal year 2026-2027 Safe Oklahoma Grant from the Oklahoma Office of the Attorney General. This grant, fully funded and requiring no matching funds from the city, is intended to enhance law enforcement budgets and focus on decreasing violent criminal acts. In previous fiscal years, the grant funded an audio detection system and an additional license plate reader, which have proven effective in generating investigative leads and enhancing community safety. For fiscal year 2026-2027, the funds would continue operational costs for these systems and support additional initiatives to reduce violent crime. The department plans to apply for approximately $70,000, which is the maximum allowed, specifically for the audio detection system and assisting license plate readers, which are part of a larger contract for additional cameras and detection devices.
Emergency Change Order Approves Additional $786K for Ardmore City Lake Dam Repairs
The City Commission is considering an emergency change order for the Ardmore City Lake Dam repairs. This change order, number six, is for an increased amount of $786,719.12, bringing the new total contract to $9,470,319.04, and extends the contract time by 36 days. The additional funding is due to unforeseen conditions discovered in the rear of the dam, including the presence of sand, rock, and shell instead of the anticipated concrete, requiring extensive excavation and reconstruction. The original core samples taken years ago did not fully reveal the subsurface conditions due to the depth and integrity of the dam. Completing the redesign work is recommended to maintain site stability, reduce seepage risk, and ensure long-term safety and performance. Failure to approve this change order could lead to the contractor moving to another project, potential loss of land, and further damage.
Ardmore City Lake Dam Repairs See Contract Increase of $193K Due to Material Overruns
The City Commission considered change order number five for the Ardmore City Lake Dam repairs between the City of Ardmore and Macmillan Incorporated. This change order adds scope of work, increasing the contract amount by $193,633.10, bringing the new total contract to $8,683,599.94. The increase is attributed to unforeseen overruns in concrete, earthfill, and rock. While credits were received on some items, the need for more fill dirt and rip rap, which are difficult to measure precisely, led to the increase. This change order is not related to the core sampling issue previously discussed. The commission approved this change order.
Ardmore Police Department to Acquire Three New Police Trucks for Drug Enforcement Units
The Ardmore Police Department is requesting approval to purchase three 2027 Chevy two-wheel drive police trucks for the drug enforcement units. These vehicles will be purchased through Oklahoma State Contract SW0035 from Carter Chevrolet of Oparchy, Oklahoma, at a total cost of $173,061. The new vehicles are intended for canine units and will have equipment transferred from existing canine vehicles. The department currently has 36-37 police vehicles in its fleet and 54 officers, but the take-home program and anticipated staffing increases necessitate additional vehicles. The purchase is budgeted within the drug enforcement fund.
